SUMMARY: Under the direct supervision of the Customer Service Supervisor, the Receptionist shall have the responsibility to support the daily operations of the Sales Department. The Receptionist presents the first impression of our company to our clients and customers. The Receptionist will contribute to an environment that fosters teamwork and enhanced customer service through communication and coordination with our HMI team working to promoting the image of HMI and all it affiliates as a leader in the industry. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. I) ADMINISTRATIVE OPERATIONS a) Greet persons entering organization b) Answer phones, screen and direct calls c) Provide information to callers d) Take and relay messages e) Answer questions from public and customers f) Provide sales support to customers, customer service representatives, salespersons, and application engineers g) Provides support to other departments; accounting, engineering, production, as needed h) Prepare letters and documents i) Monitor and maintain postage machine, copier, printers, fax machine j) Schedule and maintain appointments either manually or electronically k) Receive and sort mail and deliveries, prepares outgoing mail l) Orders office supplies for department m) Maintains and issues safety glasses n) Cleans and maintains reception area o) End of day kitchen maintenance, cleans coffee pots, counters II) SALES a) Prepares and distributes weekly Sales Forecast to salesperson for updating b) Prepares/Prints Customer Equipment manuals, including CD's c) Maintains printed Data Sheet library d) PDF's QC Reports, documents notes in Access, adds to equipment binder e) Downloads job photos, files and stores within respective Sales Order files f) Pulls #'s/Begins Sales Order process g) Makes travel reservations and details h) Assists with employee, walk-in, and non-customer sales i) Assists with small orders, ie.baskets j) Assists with Retail sale orders k) Assists with return good authorization, RGA's l) Files Sales paperwork and files III) Accounting Department Support (as time permits) a) Check matching b) Invoicing Sales Orders c) Retail Sales invoicing/costing d) Data enters quarterly taxes e) Data enters work order budgets in Access f) Files accounting paperwork and job files IV) Key Competencies a) Excellent customer service b) Professional personal appearance c) Attention to detail d) Reliable e) Able to multi-task in a busy environment...
